How to Fix a Printer That Shows Offline in Windows

Quick answer

Look at the printer itself first: paper, ink/toner, error lights, wake from sleep. In Windows, set the printer online (Printers & scanners → the device → Open print queue → Printer → Use Printer Offline should be unchecked). Cancel stuck jobs. If the printer is on Wi-Fi, confirm it is on the same network as the PC. Do not install a driver pack from an ad. USB printers that never enumerate belong with [USB not recognized](/guides/usb-device-not-recognized).

Quick diagnosis

If several of these match what you see, you are in the right guide.

  • The printer is Offline in Windows even when it is powered on
  • Jobs sit in the queue and never print
  • Windows cannot find the printer after a Wi-Fi change
  • A USB printer worked until you moved the cable

Possible causes

  • The printer is actually asleep, out of paper, or in an error state
  • Windows is using an old queue for a printer that changed IP address
  • A stuck job holding the spooler
  • The wrong printer selected (a leftover "PDF" or a disconnected copy)
  • USB or Wi-Fi path broken

What you need

  • The printer's own screen or lights
  • Settings → Bluetooth & devices → Printers

What this problem usually means

"Offline" is Windows saying it cannot talk to that queue. The hardware may be fine, asleep, or on another SSID after a router change. A second copy of the same printer in the list is common after you reinstalled software, printing to the dead copy looks like a broken printer.

Before you start

  • Print a test page from the printer's own menu if it has one. If that fails, Windows is not the first problem.
  • Use the same Wi-Fi name the printer is on (guest networks often block printers).
  • Prefer the vendor's current software from their site if you need a reinstall, not a bundle ISO.

Quick fixes

1. Wake, paper, and Open as administrator queue

  1. Clear jams, close covers, add paper. Tap a button to wake.
  2. Settings → Bluetooth & devices → Printers & scanners → your printer.
  3. Open print queue. Cancel all documents if they are hours old.
  4. If you see Use Printer Offline checked in the classic Printer menu, uncheck it.

2. Set as default and remove ghosts

Remove duplicate printer entries you do not use. Set the one that matches the current USB or IP as default. Printing to "Let Windows manage" can send jobs to a sleeping network printer while a USB one sits idle.

Step-by-step troubleshooting

Restart the spooler

Win+R → services.msc → Print Spooler → Restart. That clears a stuck service. It is a normal Windows service, not a hack. If it will not start, another print tool may have broken the service, uninstall unofficial printer "boosters."

Wi-Fi printers after a router change

The printer may still be on the old SSID or a new DHCP address. Re-run the printer's wireless setup, then Add device in Windows. "Offline" is expected until the queue points at the new address. This is not Wi-Fi missing on the PC unless the laptop itself has no wireless.

USB

Rear port on a desktop, not a dead hub. A cable that charges a phone may still be charge-only, use a data cable. If Device Manager never shows a USB printing support or the vendor device, stay with the USB guide.

Can the printer print without Windows?

Choose an answer. The next question appears below, no account or download required.

Does a test page from the printer's buttons work?

Hardware is willing. Fix the Windows queue, online flag, spooler, and IP/USB path. Remove duplicate printers.

Ink, paper, jam, or a hardware fault. Windows Online/Offline will not clear a hardware error light. Use the printer manual.

Give the PC a network (Ethernet or restore Wi-Fi) or USB if the printer allows it. The queue cannot reach a wireless printer from a PC that is offline.

How to know the problem is fixed

A one-page Notepad print completes and the queue is empty. The printer shows Idle, not Offline. Print a second page after a sleep of the printer to confirm it wakes.

If the problem continues

Add the printer again by IP (printer screen or router device list) if network discovery fails. Vendor software from the official support page can help with scanning. If every PC on the network sees it offline, the printer's network card or Wi-Fi is the remaining suspect, not a Windows spooler tweak on one laptop.

When this may be hardware failure

A printer that cannot print its own test page, with error lights, is hardware or supplies. A USB printer that never enumerates on any port after a known-good data cable is the printer's USB interface or the PC's ports, confirm with another USB device.

Common mistakes to avoid

  • Installing a "universal printer driver pack" from a bundle site.
  • Leaving twenty failed jobs in the queue.
  • Buying a new printer because it was on the guest Wi-Fi.

Frequently asked questions

Should I use Microsoft IPP or the vendor installer?

Windows can add many printers with built-in drivers. If that works, you are done. Vendor software is useful for scanning and ink levels. You do not need both plus a third "optimizer."

Why does it go offline after the PC sleeps?

Some network printers drop. Wake the printer and print again. If the PC's network dies on sleep, that is [internet after sleep](/guides/internet-disconnects-after-sleep-windows), which will take the printer with it.
