How to Fix OneDrive When Files Are Not Syncing on Windows
Quick answer
Click the OneDrive cloud icon: if it is Paused, resume. If the cloud is full, free space there or locally. Open the activity view and read the first error, a blocked path is not a Windows network outage. If the browser has internet but OneDrive does not, see [internet works in browser, not apps](/guides/internet-works-in-browser-not-apps). Reset OneDrive using Microsoft's documented command only after those checks.
Quick diagnosis
If several of these match what you see, you are in the right guide.
- The cloud icon sits on syncing forever
- Files say "available when online" and will not download
- Changes on this PC never appear on another device
- OneDrive asks you to sign in repeatedly
Possible causes
- Paused sync, a full cloud quota, or a full local disk
- A stuck upload (too-long path, blocked file type, file in use)
- Files On-Demand waiting for a download you never requested
- An outdated OneDrive client or a broken account token
- You are looking at a copy that is not in the OneDrive folder
What you need
- OneDrive activity center
- A working internet connection
What this problem usually means
OneDrive is a sync client, not File Explorer itself. A file can exist on the PC, in the cloud, or as a placeholder. "Not syncing" might mean upload, download, or account. Recycle Bin on the web is a different bucket from the Windows Bin.
Before you start
- Confirm you are signed into the same Microsoft account you expect.
- A work or school OneDrive can be blocked by policy. Personal tips will not override IT.
- Do not copy the entire OneDrive folder to "force" a sync while the client is running, you will duplicate chaos.
Quick fixes
1. Resume, then read the error
Cloud icon → Resume syncing if paused. Open the activity list. Fix the first failing file (close it, shorten the name, move it out of a restricted folder).
2. Quota and local disk
OneDrive settings → Account: storage used. A full cloud stops uploads. A full C: stops downloads, free disk space. These are capacity problems, not a broken Windows network stack.
Step-by-step troubleshooting
Files On-Demand
A cloud icon on the file means it is not fully on this PC. Right-click → Always keep on this device if you need it offline. White space on the icon is not a sync bug; it is the design. If Always keep never finishes, you have a real download failure, quota, network, or a stuck client.
Update the client
OneDrive is updated through Windows and Microsoft 365. Settings inside OneDrive → About can show a version. Avoid "OneDrive repair" EXEs from the web. The official client comes from Microsoft.
Reset OneDrive (Microsoft's method)
Microsoft documents a reset: Win+R, then %localappdata%\Microsoft\OneDrive\onedrive.exe /reset, if the executable is elsewhere, their support article lists the Program Files path. Reset does not delete cloud files. It can take a while to re-index. Sign in again if asked. Do this after quota and paused-sync checks, not as step one.
Unlink and relink
OneDrive Settings → Account → Unlink this PC. Relink to the same folder if offered so you do not download a second full copy over a tiny SSD. Unlinking is heavier than a reset.
Which way is sync failing?
Choose an answer. The next question appears below, no account or download required.
Quota, paused sync, or a blocked file in the activity list. Browser internet does not prove OneDrive's upload path if a proxy blocks it.
On-Demand placeholder vs a failed download. Always keep on this device, then local disk space.
Reset the client. If Explorer is also freezing on the OneDrive folder, fix Explorer in parallel.
How to know the problem is fixed
A new text file in the OneDrive folder appears on another device or on the web client, and a cloud-only file you pin downloads a solid check mark. Give it a few minutes on a large library.
If the problem continues
Work accounts: check the Microsoft 365 service status and your admin. Personal: Microsoft's official OneDrive troubleshooter in Get Help is preferable to a third-party sync "booster." If the PC has no internet in any app, leave this article.
When this may be hardware failure
OneDrive stalling does not diagnose a dead SSD. Combine with copy errors before you replace a drive.
Common mistakes to avoid
- Duplicating the OneDrive folder by copying it while sync is running.
- Unlinking twice and filling the disk with two libraries.
- Using a registry cleaner to "fix OneDrive."
Frequently asked questions
Are cloud-only files safe?
They exist in your Microsoft account if upload finished. They are not a full local backup. Always keep on this device if you need them without internet.
Does reset delete my cloud files?
The Microsoft reset restarts the client. Cloud files stay unless you delete them yourself. Local placeholders rebuild. Still, do not reset as a panic click during a huge first upload.
